Customers, approval and quotes
Approve new organisations, decide who sees prices, set agreed rates, and see who asked for a quote.
Operators on GHSLink can pick your services for a trip and ask for a quote. You decide, per organisation, how much they see. Nobody you haven't approved ever sees a price, which stops competitors browsing your price list.
| Customer status | What they see when they ask for a quote |
|---|---|
| New | No prices. "We're unable to provide a quote. Do you want to confirm your provisional request?" If they confirm, it arrives in Booking Requests. |
| Approved | Your standard prices for their trip (unless you quote them by hand) |
| Contract | Their agreed rates, and standard prices for everything else |
| Blocked | Nothing: no quotes, no new requests |
A new organisation sends a provisional request
- It arrives in Booking Requests as a new booking, marked New customer.
- Choose Approve customer (they'll see prices next time), Approve, we quote by hand, or Block.
- Then decide the booking itself as usual: approve, reject or ask for clarification. To send prices for this first booking, create a quote from the movement (Create quote → Issue). The organisation sees the issued quote on their trip and can accept or decline it themselves; their answer and any note appear on your quote.
Who sees prices
- Operations settings → Quotes on GHSLink sets the default for approved customers: Show prices or We quote by hand.
- On an organisation's page, Customer terms → Prices when they ask for a quote overrides the default for that organisation.
Agreed rates (contract customers)
- Open the organisation and go to Customer terms.
- Choose + Add rate: the service, the agreed price, and the dates it applies (leave "Until" empty for open-ended).
- Save. Adding a rate makes them a Contract customer.
An agreed rate applies automatically to every service added for that customer from its start date, whoever adds it: an operator's request, your operations team or a dispatcher on the ramp. Services already on a booking keep the price they were added at, so invoices can always be explained.
Who asked
Each organisation's page lists its recent quote requests: when, and whether prices were shown. Every quote is recorded, and an organisation can ask for at most 30 quotes an hour.
