Bookings and movements

Create a booking, handle the aircraft on the day, record services and sign the movement off.

A movement is one aircraft visit: arrival, time on the ground, departure. Movements belong to a reservation, an 8-character reference that groups the trips of one booking. The Movements page lists them all, with tabs for All, Planned, On ground, Departed and Cancelled.

Create a booking

  1. Choose + New booking on the dashboard or the Movements page.
  2. Start with the registration. For a known aircraft, its owner, operator and billing agent fill in automatically. For a new registration, add the aircraft type and fuel.
  3. If GHSLink finds a previous reservation for the aircraft, choose Reuse previous reservation data or Start new reservation.
  4. Change the operator/charterer or billing agent for this movement only, if needed.
  5. Enter the trip: From and To (ICAO), arrival and departure times, passengers, crew, captain, the assigned controller, and Notes & special requests.
  6. Check the capacity check. If the time is full you'll see "We're unable to accommodate the requested arrival time" and suggested alternatives.
  7. Choose Create booking. Over capacity, confirm the override (it is recorded).

On the day

  1. Open the movement. Dispatchers use My shift → Open flight on their phone instead (see "Dispatching your flights").
  2. Choose Start handling · arrived when the aircraft arrives.
  3. Work through the services: Start, then Done or Complete on each.
  4. Add tasks for anything that isn't a billable service (catering order, crew hotel).
  5. Choose Mark departed when it leaves.
  6. Choose Sign off movement once everything is complete.

Services

  • Add service to request one for later, or Record as completed for work already done.
  • Service statuses: Requested, Assigned, In progress, Completed, Signed off, Cancelled.
  • Chips show when a service is In billing or Invoiced. Invoiced lines are locked: "Locked fields belong to an issued invoice."
  • Withdraw or Remove a service that won't be delivered.

The movement page also has

  • Priority (Normal, High, VIP) and required skills, used by the assignment plan.
  • Edit: "Changes before invoicing are normal and recorded in Activity." Important changes to a confirmed booking go to operations as a booking request.
  • Cancel (or Request cancellation if you can't cancel yourself). Cancelled movements are kept for history.
  • Print Movement Sheet: a printable record with signature lines for "Handled by" and "Captain / customer".
  • Commercial: Create quote, Create proforma, Create billing transaction.
  • Activity: the audit trail of every change.
  • A Requested through GHSLink panel when the booking came from an operator.
